Who we are

This website

We set no tracking cookies and use no analytics or tracking scripts. This is deliberate. Our web host records standard server logs (IP address, pages requested, time) for security; these are kept for a short period and not used to identify you.

If you send us an enquiry

We collect what you put in the form: who you are, your organisation, email, phone if given, and what you need. We use it only to answer you and, if you become a client, to set up our work together. Our legal reason is our legitimate interest in responding to business enquiries. The form is handled by a specialist form service on our behalf; we do not share your enquiry with anyone else. If no work follows, we delete the enquiry within twelve months.

If you are a client or a contact at a client firm

We hold your business contact details, the instructions you send us, our correspondence, and our records of the work and invoices. We use them to carry out and account for the work, and our legal reasons are our contract with your firm and our legitimate interest in running the business. We keep these records for six years after our relationship ends, because that is how long a claim could be brought under a contract. Our records are held in UK-based business systems with access limited to the people who need it.

If you are the subject of a report

Extant produces reports for professional clients, such as law firms, on the instructions of the client and under a written agreement with it. The firm that instructed us decides why the check is needed and is responsible for telling you about it where the law requires. We act only on that firm’s written instructions, use only lawfully available information, never contact you, never pretend to be someone else, and report only on the specific points we were asked about. The information in a case is deleted six months after the case closes unless the client’s agreement says otherwise. If you want to exercise your rights over information in a report, contact the firm that instructed it; if you do not know who that is, write to us and we will pass your request to the right firm within three working days and help it to respond.

Your rights

You can ask for a copy of the personal information we hold about you, ask us to correct or delete it, or object to our use of it. Write to enquiries@extantintelligence.co.uk. We answer within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes

We review this notice at least once a year and whenever our services change. The version and date are at the top.
